My role here was to design and build an internal admin platform that allowed for the management of tasks, hours, and payments for cantracted services to the US State Department. It required API feeds from a number of government systems, and theability for contractorsto log in and self manage, or manage contractor teams, each with multiple contracts, subtasks, and billing pipelines.

Issue:

An international contractor faced growing complexity in managing a distributed network of contractors across multiple projects and locations. Legacy manual processes led to inefficiencies, scheduling conflicts, and compliance risks.

Approach

Product Discovery

  • Conducted stakeholder interviews with operations, finance, and compliance teams to map pain points and must-haves.
  • Analyzed current workflows and identified opportunities for automation and integration.

NPD Framework:

  • Applied Lean and Agile methodologies to rapidly prototype and validate key features.
  • Used user journey mapping and low-fidelity wireframes to test concepts before build.

Alignment:

  • Prioritized features that would deliver measurable operational efficiencies under budget and time constraints.

Execution

  • Developed functional requirements and user stories based on direct stakeholder feedback.
  • Led sprint planning, backlog management, and daily standups with internal dev team.
  • Built the MVP with a focus on API-driven architecture, allowing for future integrations (payroll, audit, project management).
  • Iteratively tested new features with real users, incorporating feedback to improve usability and reduce friction.
  • Coordinated with compliance to ensure regulatory and audit-readiness from day one.

Outcome

  • Successfully launched "Mothership" platform, centralizing contractor scheduling, time-tracking, and billing.
  • Reduced manual scheduling conflicts and invoice processing times by over 60%.
  • Enabled real-time task allocation and compliance tracking, minimizing risk for both the business and contractors.
  • Positioned platform for easy expansion into other domains (future integration with HR and finance systems).

Tools Used:

  • Jira (backlog & sprint management)
  • Figma (wireframes & prototyping)
  • SQL, REST APIs
  • Excel (initial data analysis)

Capabilities Demonstrated

  • Primary: New Product Development (NPD)
  • Secondary: Ownership, Design, Optimization

Key Learnings

  • Embedding compliance into the NPD process early prevents costly downstream rework.
  • Close, iterative collaboration with end users is critical for driving adoption in operational platforms.
  • A modular, API-driven architecture ensures future scalability and integration potential.
